Campaigns

Campaigns are reusable outreach workflows for candidate screening or lead calling. Create a draft, upload contacts, launch during calling hours, monitor progress, pause/resume, and retry missed contacts.

When to use campaigns

Use campaign whenWhy
Hiring drivesYou need one reusable campaign record with students, calls, and ratings.
Scheduled outreachCalls should respect the 9 AM - 9 PM IST campaign calling window.
Recruiter operationsRecruiters need pause/resume/retry controls and campaign-level monitoring.
ReportingYou want campaign-specific review in Call History and Ratings.

Prepare your CSV

Use the template available from the campaign upload card. The required columns arename and phone; email is optional. Keep headers lowercase and avoid merged cells or extra title rows.

name,phone,email
Asha Rao,+919876543210,asha@example.com
Vikram S,+918765432109,
Priya K,+917654321098,priya@example.com
  • Phone format - Indian mobiles only: +91 followed by 10 digits, no spaces, e.g. +919876543210. Other formats are flagged and rejected during the upload preview.
  • Duplicates - remove duplicate phone numbers unless you intentionally want repeat attempts as separate rows.
  • Names - keep names readable; they appear in Call History, transcripts and the Ratings page.
  • Encoding - save as CSV, not XLSX. If Excel is used, export/download as comma-separated CSV.

  2. Enter a clear campaign name, such as June Java Screening - Hyderabad.
  3. Select the agent. This decides the prompt, voice, rating template, and call behavior.
  4. Select Plivo as telephony provider.
  5. Select the from number. This is the caller ID candidates see.
  6. Click Save Campaign or Create Draft. No calls are placed yet.

Upload and launch a campaign

  1. After saving, open the campaign overview.
  2. Upload your CSV using the upload card.
  3. Review the imported students before launch.
  4. Click Launch from the campaign overview.
  5. Monitor totals, completed calls, failed calls, and retryable contacts from the campaign pages.

Campaign calling behavior

  • Calling hours - calls are placed between 9 AM and 9 PM IST. If launched outside the window, calls wait until the next open window.
  • Automatic retries - no answer, busy, or failed calls are retried up to 3 times about 30 minutes apart.
  • Completed calls - completed calls are not redialed automatically.
  • Pause - stops new dials while keeping campaign progress.
  • Resume - continues the remaining queued contacts.
  • Retry - manually retries unreachable students when retryable rows exist.

Monitor campaign results

  • Campaign overview - see total contacts, processed calls, success count, failed count, and current status.
  • Students tab - check imported contacts and per-student status.
  • Calls tab - review campaign calls in context.
  • Call History - inspect transcript, summary, provider, status, and recording.
  • Ratings - review post-call rubric output for completed calls.

Troubleshooting campaigns

ProblemFix
CSV upload says missing columnsMake sure the first row contains name and phone.
Phone numbers failUse country code with plus sign. Example: +919876543210.
Calls are not startingCheck monthly minutes, wallet balance, provider credentials, from number, and whether the campaign is outside calling hours.
Wrong agent selectedCreate a new campaign with the correct agent, or edit before launch if the status allows it.
Calling pauses when monthly minute allowance is exhausted. Add funds or update the plan before launching a large CSV.
